JOB PURPOSE

We are seeking a highly organised and proactive Archive Coordinator to support the day-to-day management of our brand archive.

This role focuses on coordinating loans, maintaining physical and digital collection records, supporting cataloguing and digitisation, and enabling teams across the business to access heritage assets efficiently and responsibly, whilst supporting the archive team research briefs and project based activity and documents.

The role requires effective and confident communication skills, the ability to multitask, and the capacity to manage conversations with key stakeholders across the business in a calm and professional manner. We are looking for a proactive, organised individual who is eager to support the team.

Working closely with teams across Design, Product, Communications and external partners, you will oversee the movement, presentation, and tracking of archive materials, maintain collection data and systems, and support projects that leverage the brand's heritage. Your attention to detail, operational rigour, and collaborative approach will enable the archive to function as a reliable resource for creative and business teams.

RESPONSIBILITIES

Archive Loans & Asset Movement
  • Coordinate internal archive loans end-to-end, managing requests, approvals, documentation, packing, transport, and returns; liaise with Design, Product,
  • Communications, Blyth, Transport, Goods-In, and other stakeholders to ensure timely and secure handling of materials.
  • Support external loan activity, working with partners to ensure assets are condition-checked, recorded, packed, transported, and returned in line with archive standards and schedules.
  • Track the movement of archive items, maintaining accurate loan records and ensuring all materials are accounted for at each stage.

Collection Organisation & Storage
  • Maintain the organisation, storage, and security of the physical archive, ensuring items are stored appropriately and can be efficiently retrieved.
  • Support the management of digital archive assets, maintaining logical filing structures and consistent naming conventions.
  • Monitor storage conditions and flag any risks to the preservation or security of archive materials.

Cataloguing & Database Management
  • Support cataloguing activities, including labelling, sorting, numbering, and preparing items for entry into the archive system.
  • Upload new records, imagery, and metadata to the database, ensuring accuracy, consistency, and completeness of information.
  • Update existing records as required to reflect item movement, condition changes, or new research findings.

Digitisation & Imaging Coordination
  • Coordinate the digitisation of archive materials, working with Studio and Post-Production teams to schedule photography and ensure assets are captured to required standards.
  • Prepare items for imaging, including condition checking, documentation, and handling arrangements.
  • Ensure digital files are correctly named, stored, and linked to corresponding database records.

Research & Information Support
  • Conduct research to support internal requests, projects, and presentations, gathering relevant imagery, documentation, and historical information.
  • Assist in compiling visual references and materials for meetings, product development, communications, and heritage initiatives.
  • Respond to archive enquiries in a timely and professional manner.

Meeting & Presentation Preparation
  • Prepare archive assets for meetings, fittings, shoots, and appointments, ensuring items are clean, complete, and presented to a high standard.
  • Coordinate delivery, setup, and collection of materials as required, ensuring safe handling throughout.

Documentation & Heritage Recording
  • Proactively document current business activity for future archival use, capturing relevant materials, imagery, and contextual information.
  • Support the ongoing development of the archive as a living record of the brand's activities and output.

Administration & Reporting
  • Provide administrative support to archive operations, including statistics, data tracking, and record-keeping.
  • Produce regular reports on archive activity, including loans, acquisitions, and usage. Take minutes in meetings and communicate updates clearly to relevant stakeholders.

Project & Team Support
  • Collaborate on large-scale heritage and archive projects across the organisation, supporting planning, coordination, and delivery.
  • Work closely with the Archive team and wider business to ensure archive processes run efficiently and consistently.

We are seeking a highly organised, dependable professional who excels in a team support role and takes pride in delivering work to a consistently high standard. This role requires someone comfortable working behind the scenes to ensure complex operations run smoothly, while maintaining the professionalism and pace of a global luxury brand.

Professional, composed, and confident when engaging with stakeholders at all levels, including senior colleagues and external partners. Proactive, responsive, and solutions-focused, with the ability to act decisively and handle challenges calmly and discreetly. Self-motivated and resilient, able to work independently, manage competing priorities, and adapt to changing demands.

A collaborative team player with strong organisational skills and meticulous attention to detail, particularly when managing data, inventories, or documentation. Comfortable with structured, process-driven tasks such as cataloguing, record management, and database work, maintaining accuracy and consistency at all times.

Previous experience in a coordination, administrative, or collections-based role within a fast-paced environment is preferred. Proficiency with digital tools, databases, and Microsoft Office (or equivalent) is essential. Experience working with physical collections, archives, libraries, museums, or product heritage assets - ideally within a fashion, cultural, or creative context - is highly desirable, as is familiarity with cataloguing or collections management systems and the luxury fashion industry.

A genuine interest in fashion, design, and brand heritage, particularly Burberry's history and cultural impact, would be advantageous.
